Manage vaults

In the management of your vaults, you can create, modify, delete and administer vaults.

Vaults are used to manage access to specific documents for selected users and to carry out business processes (workflows/tasks) within them. Accordingly, users in your organisation can only access a vault if they are assigned to that vault.

All activities in a vault are based on a user’s permissions, which are stored in user groups with defined rights, or on the licence type assigned to the user.

Create vault

    Select the Me entry in the toolbox.

  2. 2.

    Select the ActionButton slightly shifted to the left/up.

  3. 3.

    Select the + symbol.

  4. 4.

    From the menu that appears, select one of the options for creating a new clipboard, e.g. Add new simple vault or Add standard solution.

For Amagno On PremiseThe person responsible for the Amagno server defines the right to create vaults in the Amagno MMC for all users to be created in the server settings in the DefaultVaultCreation entry and for each user individually in their profile via the AllowVaultCreation setting.

New simple vault system

This creates an empty vault with default settings without automation, e.g. without data (re)recognition of documents. After selecting this menu item, enter the name of the desired vault in the subsequent dialog and confirm this with the green check mark.

Creating the vault may take a moment. You can update the list of vaults at any time and then select the new vault. With the creation you are the main responsible administrator of this vault.

The following settings apply after a vault is created:

  • Automatic archiving of files (retention periods) are disabled.
  • The magnetization is deactivated.
  • Server-side import (e.g. via FTPS) and mail import are disabled.

Add standard solution

Amanogo has numerous ready-made standard processes and vaults in the Amanogo Business Cloud (DE) that are already prepared for specific interfaces.

You can obtain these from the Solution Store and then customise them yourself, through Amanogo partners or through the Amanogo service. Please note that installing a standard solution may require additional storage space, which is subject to a fee.

If the Amagno app is connected to an on-premise server, this option may not be available. Administrators of an Amagno on-premise server can provide their own ready-made solutions here.

    After selecting Add standard solution, you can view solutions for different topics, such as industries, solutions or even the most popular solutions.

  2. 2.

    After selecting, for example, an industry, a list of suitable solutions will be displayed. The solutions are displayed with the solution name, author (provider) and number of installations.

    Select the preferred solution.

  4. 4.

    Review the description and other information.

  5. 5.

    Select Website for more information about this solution.

    Especially in the case of interfaces or partner solutions, it may be that the download of the solution is free of charge, but the setup is subject to a fee. Please contact your Amagno sales partner, the Amagno sales team or the provider of the solution for a quote.

  6. 6.

    Select Install to deploy the solution.

    Update the list of vaults until the new vault appears.

  7. 7.

    Refresh the list of vaults until the new vault appears.

Possible tasks for a solution are displayed as global tasks after a slight delay.

The solutions of the Solution Store of the Amagno Business Cloud (DE) are not available in the Amagno Business Cloud (CH) or on other Amagno On Premise systems.

Amagno does not check the vaults that are provided and does not assume any liability/responsibility for the installation and any resulting issues. Therefore, please carefully check any files contained in the standard solutions before opening them. We assume that you protect your operating system against viruses and malware.

Select vault

If you have several vaults, you can switch between them at any time.

    Select the Me entry in the toolbox.

  2. 2.

    Select the Vault tab.

  3. 3.

    Select the preferred vault from the list of vaults.

The vault will now open and you can work in it.

Delete vault permanently

You can delete a vault permanently if you no longer need the contents it contains. Please note that in companies, much of the content is subject to a longer retention period. For your security, the deletion of a vault is subject to special protection. For this function, you also need the right Files – Files – Delete.

Deleting a vault permanently is final and irrevocable! The deleted contents cannot be restored!

To permanently delete a vault, follow these steps:

  1. 1.

    Select the Me entry in the toolbox.

  2. 2.

    Select the vault that you want to delete permanently from the list that appears.

  3. 3.

    Press and hold the ActionButton in the list that appears. The ActionMenu will appear.

  4. 4.

    Select the Delete Vault permanently menu item.

  5. 5.

    For your security, enter the text displayed in the following dialogue box.

    Deleting a vault permanently is final and irreversible! The deleted contents cannot be restored!

  6. 6.

    Confirm the action with Delete Vault.

  7. 7.

    The process may take a few minutes. Refresh the list of vaults.
