Manage users in the vault

A vault is only accessible to persons who are assigned to the vault by name as users. This is also referred to as multi-client capability. This allows you to protect sensitive vaults, e.g. financial documents, personnel documents, works councils and much more.

The rights of users depend on the license (editor or reader) and on personal rights or rights of user groups that a user belongs to.

Rights and user groups are managed via the Amagno Client for Windows.

Add users to the vault

Additional users who are not yet in a vault can be added.

This function requires the right Vaults – Set files – Invite or add user to vault. To assign the user directly to a user group, the right User groups – Add user is required.

The prerequisite is that the relevant users are in the list of contacts for the person managing them.

To add users to a vault, they must at least be added as members of a user group in the vault. Otherwise, they are considered unassigned and therefore have no rights and thus no functions.

Users can be assigned to multiple user groups.

    Select a vault from the vaults tab via the Me theme menu.

  2. 2.

    Select the Administration tab via the Home theme menu.

  3. 3.

    Select the entry User groups and users in the selection.

  4. 4.

    In the User groups tab, select a user group in which a contact is to be added to this vault.

  5. 5.

    Select the action button and confirm the symbol for Add member. Alternatively, you can select the action button for longer and then select Add member in the subsequent menu.

  6. 6.

    In the subsequent Add dialog, select the filter icon at the bottom left of the dialog. This will display all users from your contacts who are not yet in this vault.

  7. 7.

    You can limit the display of users with a large number of entries in the list by dragging the list down using the mouse or touch. This should create another filter for the listing to find suitable names more quickly. Then enter a name and start filtering with the Enter key.

  8. 8.

    Select the users who are to be added to this vault in this user group by marking them with a check on the right.

  9. 9.

    Confirm the process below with the green check symbol.

  10. 10.

    Refresh the list of users.

Remove user from vault

Users can also be removed from a vault if they are no longer to have access to the content. At least one user with the right listed below must remain in the vault so that it remains administrable.

This function requires the right Vaults – Set vault – Change rights.

    Select a vault from the vaults tab via the Me theme menu.

  2. 2.

    Select the Administration tab via the Home theme menu.

  3. 3.

    Select the entry User groups and users in the selection.

  4. 4.

    Select the action button and confirm the icon for Remove user from vault . Alternatively, you can select the action button for longer and then select the entry Remove user from vault in the subsequent menu.

  5. 5.

    Select the users to be removed from this vault by marking them with a check on the right.

  6. 6.

    Confirm the process below with the green check symbol.

  7. 7.

    Refresh the list of users.

For legal reasons, the user’s activities remain available for traceability purposes.

Add members to the user group

User groups allow you to control rights for multiple users across the system.

This function requires the right User groups – Add user.

  1. 1.

    Select a vault from the vaults tab via the Me theme menu.

  2. 2.

    Select the Administration tab via the Home theme menu.

  3. 3.

    Select the entry User groups and users in the selection.

  4. 4.

    In the User groups tab, select a user group in which a user should be added.

  5. 5.

    Select the action button and confirm the symbol for Add member. Alternatively, you can select the action button for longer and then select Add member in the subsequent menu.

  6. 6.

    In the subsequent Add dialog, select the filter icon at the bottom left of the dialog. This will display all users from your contacts who are not yet in this vault.

Remove members from user group

Users can also be removed from a user group.

This function requires the right User groups – Remove users.

    Select a vault from the vaults tab via the Me theme menu.

    Select the Administration tab via the Home theme menu.

    Select the entry User groups and users in the selection.

  4. 4.

    In the User groups tab, select a user group in which a user should be removed.

  5. 5.

    Select the action button and confirm the symbol for Remover member. Alternatively, you can select the action button for longer and then select Remove member in the subsequent menu.

  6. 6.

    You can limit the display of users with a large number of entries in the list by dragging the list down using the mouse or touch. This should create another filter for the listing to find suitable names more quickly. Then enter a name and start filtering with the Enter key.
