Edit documents

Thematically, the app must distinguish between whether the file is being edited in terms of content or whether, for example, tags or other parameters relating to this document are being edited.

View published version and editing status

If a file is being edited by one user, other users can view and find the current published version in the Documents, Tags and Document Types areas and via the search function. Most of the editing functions are not available to other users and will only become available again once the file has been edited (published) or the editing process has been cancelled.

To access the file in its current working state as an editor, switch to the On the desktop in a vault view.

The following description focuses on how to edit the content of the file.

Automatic file backup

When a file is opened for editing, a local copy must be created for technical reasons. To do this, the app downloads the file to be edited locally to the device. There are several situations in which the app backs up the local file to the server. The backup is intended to help you continue working on the file on another device without losing your work.

Different operating systems may behave differently depending on the device. Due to the rapid change cycles of the systems, it is not possible to test with the latest version of each operating system. Therefore, please check the editing with a test file on the most relevant systems. If a browser is used, the app cannot check local file systems and cannot automatically back up the files. Therefore, it is necessary to always manually upload a file to the server after editing.

Opening a file for editing

To edit a file, you need the appropriate application, e.g. Word for editing a docx file.

The following requirements must be met in order to edit a file:

  • You have the necessary rights.
  • The file is not currently being edited by another user. This can be recognised by the red edit symbol in the title bar of the file or in the document lists.

    Select a file (e.g. from a search or under Documents in a vault).

  2. 2.

    The full-page preview appears.

  3. 3.

    Select the action button and select the orange pencil icon or hold down the action button a little longer to open the menu.

    Select the Edit action from the menu that appears.

  5. 5.

    The file will now start downloading to your local device.

  6. 6.

    The app will switch to the corresponding vault on your desktop.

    The title bar of the document now shows the orange Edit icon.

    The file will now open for editing with the corresponding application.

    Save the file after closing the application.

  11. The app creates a folder structure called Amagno in the Windows file system under Documents. Files are temporarily stored there in a subfolder named after the vault for editing and opened with the application.

Import file to desktop

Files can be imported directly to the desktop of a vault to save them in the app and edit them before publishing.

    Select Me in the theme bar.

    Select the desired vault from the list of vaults that appears.

    Select On the desktop from the selection.

  4. 4.

    Select the action button and select the green plus symbol or the action button a little longer in the quick actions that appear.

    Select Import from the menu that appears. Alternatively, you can drag and drop or use your finger to drag a file from outside the app into the document list of the On Desktop view. For more import descriptions, see the chapter Importing Documents.

    In the Import dialogue box that appears, select Drop files or browse at the top.

  7. 7.

    In the subsequent file selection dialogue box, select the edited file from the local storage location.

  8. 8.

    Confirm the transfer of the file in the Import dialogue box using the green tick icon.

    Confirm the progress bar in the Import dialogue box after the file transfer using the green tick icon.

    Refresh the view on the desktop.

If a file has been imported directly to the desktop, editing must be completed (published) in order for the first version of this file to be processed, e.g. in magnetisation, preview, search and display in the document lists.
