Folders and magnets can be used to organise documents in a vault. Documents are not stored ‘in a folder’ like in classic file systems, they are stored in the vault. Folders only help to structure the vault. Deleting a folder does not automatically delete the documents.
In contrast to a classic file system, a document can be permanently assigned to multiple folders. This function is called anchoring. A document can be anchored to multiple folders.
Rules can be added to folders. A rule transforms a folder into a magnet. Magnets attract or release specific documents based on rules. The rules evaluate the text content and/or characteristics.
Stamps enable the application and modification of characteristics or their values, thus enabling business processes that are represented in Amagno’s tasks.
While folders and magnets must be managed manually, Amagno offers automatic structures through document types and characteristics.
Select folder
You can display a folder with all the documents it contains.
This function requires the Folder and Magnets – Read right. Rights must currently still be managed via the Amagno Client for Windows.

Select a vault in the Me topic menu in the Vaults tab.

Select Documents in the Home topic menu in the Documents tab.

Select a folder level by selecting the folders displayed.

In a folder list, select the blue arrow visible at the top of the folder list to move to the higher level of the folder structure.
Create folder
You can create as many folders as you like to organise your files in the vault.
This function requires the rights Folders and Magnets – Edit + Folders and Magnets – Create + Folders and Magnets – Read.

Select a file in the Me theme bar on the Files tab.

Select the Documents entry in the Documents tab in the Home theme menu.

Select the folder level in which the new folder is to be created by selecting the displayed folders.

Select the action button for the quick actions or the menu.

Select the + symbol or the New folder entry.

Enter the preferred folder name in the dialogue box that appears.
The folder name should not already exist at this level and should not contain any special characters that are not permitted in a Windows file system or other systems such as iOS, MacOS, Android, etc.

Confirm the dialog below with the green check.

Refresh the list of folders.
Delete folder
Folders that are no longer needed can be deleted.
This function requires the right to read and delete folders and magnets.

Select a file in the Me theme bar on the Files tab.

Select the Documents entry in the Documents tab in the Home theme menu.

Select the folder level by selecting the displayed folders in which the folder to be deleted is located.

Press and hold the action button in the relevant folder to open the menu.

Select the entry Delete folder.

Confirm the security question.

Refresh the list of folders.
Deleting a folder does not delete the documents visible in it, as these are not stored in a file system. For a better structure, documents are simply assigned to folders as fixed links (anchoring) or are displayed there dynamically by rules (folder converted to magnet with rules).
